Car Sanctum

Terms and Conditions: Service Records Clause (draft, for legal review)

Owner-Entered Records; No Proof of Work

  1. Records are entered by users. All service entries in CarLog, including the shop, work performed, date and mileage, are entered by the vehicle owner or other users. CarLog does not inspect vehicles, contact service providers, or check any entry for accuracy or completeness.
  2. Optional receipt photos. You may choose to save photos of receipts for your own reference. Before a photo is saved, CarLog reads it on your device and blacks out what looks like payment card numbers (including masked card numbers), authorization and reference codes, cardholder and customer names, street addresses, phone numbers and email addresses. You can add or adjust the blacked-out areas, and you must confirm the result before it is saved; if the text can't be read, you must confirm that you checked the photo yourself. Only the blacked-out copy is uploaded: a compressed, grayscale image with location and camera data (EXIF/GPS) removed. The original photo stays on your device, and CarLog does not keep the text it reads from the photo. Automatic redaction may not catch everything, so please check each photo before saving it, and don't save photos you are not comfortable storing. Receipt photos are stored privately in your account, are never included in shared links, and count toward your storage allowance (currently 1 GB per user; uploads beyond it are refused), and can be deleted at any time from "My receipts". CarLog does not review receipt photos or check them against your service entries, and a stored photo does not make an entry verified. CarLog is not a document archive, and you should not rely on it as your only copy.
  3. Not proof that work was done. A service record, and any shared link to one, is not proof, verification or certification that any service was performed, when it was performed, by whom, or at what mileage. You may not rely on, and must not present, any record or shared link as proof of work, as a warranty, or as a substitute for an inspection, original receipts or the service provider's own records.
  4. Keep your original receipts. You are responsible for keeping your own original receipts, invoices and service documents, even if you upload photos of them to CarLog. A stored photo is a redacted, reduced-quality copy for reference and is not a substitute for the original.
  5. Buyers, mechanics and other viewers. Anyone who views a shared link sees information supplied by the vehicle owner. Viewers should independently confirm a vehicle's condition and history, for example through a pre-purchase inspection, a vehicle history report, or records from the service provider.
  6. No liability for record contents. To the fullest extent permitted by law, CarLog is not responsible for any loss, damage or dispute arising from the accuracy, completeness or use of any service record or shared link, including decisions to buy, sell or price a vehicle.
